Stonebridge & Vine Estates ("we", "us") provides estate and property management services in the State of Querétaro, Mexico. This policy explains what personal information we collect through this website and in the course of our work, why we hold it, and what you can ask us to do with it. It is written to meet Mexico's Federal Law on the Protection of Personal Data Held by Private Parties (LFPDPPP) and to be understood by owners resident in the United States and Canada.

What we collect
- When you contact us: your name, email address, telephone number, and whatever you choose to tell us about your property.
- When you become a client: the property address, ownership and identification documents where required to act on your behalf, utility and tax account numbers, banking details needed to pay costs and receive fees, emergency contacts, and the names of people you authorise to enter the property.
- In the course of the work: photographs and written records of the property's condition, service and maintenance history, vendor invoices, and logs of visits and incidents.
- Automatically from this website: standard traffic and security data collected by our hosting and network provider — IP address, browser, and pages requested. This site sets no advertising or tracking cookies.
Why we hold it
To answer your enquiry, prepare a proposal, perform the agreement, pay costs and vendors on your behalf, keep the records the work requires, meet our tax and accounting obligations in Mexico, and reach you or your emergency contact when something happens at the property.
Sensitive data
We do not ask for and do not want data considered sensitive under Mexican law — health, religion, political opinion, ethnic origin or similar. Please do not send it to us.
Who else sees it
We share the minimum necessary with the tradespeople, cleaners, gardeners and contractors assigned to your property; with our accountants and legal advisers; with utility providers, tax authorities and HOAs when we act on your behalf; and with the technology providers who host this site and our email. We share nothing with anyone else. We never sell, rent or trade personal data, and we do not publish our clients' names, addresses or property photographs. Everyone who works on your property is bound to the same confidentiality we owe you.
Where it is kept, and for how long
Records are kept in Mexico and on hosted services that may store data in the United States and the European Union. Client records are retained for the life of the agreement and afterwards for the period Mexican commercial and tax law requires — generally five years. Enquiries that do not become engagements are deleted within twenty-four months.
Your rights
You may ask us at any time to show you the personal data we hold about you, correct it, delete it, or stop using it for a given purpose — the ARCO rights under Mexican law, and the equivalent rights available to residents of California and other jurisdictions. Write to inquiries@stonebridgeandvines.com with enough detail to identify yourself and say what you want done. We reply within twenty business days. If we cannot delete something because the law obliges us to keep it, we will tell you which record and why.
Security
Access to client files is restricted to the people who need it. Keys, codes and access devices are held under controlled custody and changed when staff or vendors change. No system is perfect; if a breach ever affects your data, we will tell you promptly and directly.
Children
This site and these services are not directed at anyone under eighteen, and we do not knowingly collect their data.
Changes
If this policy changes, the new version appears on this page with a new date. Material changes affecting existing clients are notified by email.
